SUBJECT: Co-Sponsorship of International Business Pavilion at
Graphics of the Americas 2000
Graphics of the Americas takes place February 4 – 6 in Miami.
One outcome of the continuing discussions that NAGASA’s Trade
Show Committee and staff have had Trade Show Operations Vice President
and General Manager Chris Price about collaborative efforts such as
the NAGASA Pavilion has been a proposal that NAGASA members co-sponsor
an International Business Pavilion at the Graphics of the Americas
2000 event. Here are the specifics:

| Purpose: |
To provide show exhibitors and attendees with a range of on-the-floor
services, including:
- Two meeting rooms created with hard walls, each containing
a table and six chairs, with sign-up open to all exhibitors
(walls, carpets, etc. paid by GoA)
- Two Spanish/English interpreters (paid by GoA)
- Three computers to enable email downloads (paid by GoA)
- A fax machines (paid by GoA)

--Complimentary office supplies (pens, pencils, pads) Sponsors
have opportunity of creating these imprinted products with their

| Marketing highlights: |
Pavilion sponsors will have names listed:
- On light board located at entrance hall (GoA to produce
trans; $600 value)
- On banner hanging above Pavilion (GoA to produce)
- In Show Program adjacent to the listing for the Pavilion
("Sponsored by . . . ")
- All news releases
- Flyers given to all visitors to the Pavilion
- Pavilion attendants use a lead retrieval system to capture
the names of all who visit the booth and share these names
with the sponsoring organizations.
Other options that sponsors can brainstorm: Chris is open to
discussing other ideas. Also, sponsor names will be highlighted
in all marketing materials while the NAGASA name and logo will
be included in a less prominent manner to reaffirm the collaborative
nature of this sponsorship.

| Operation: |
The International Business Pavilion and the services it will
offer will be open to all show exhibitors and attendees during
show hours. Meeting space can be reserved for blocks of time on
a first-come basis. NAGASA staff will be on hand to support Pavilion
operations. Product and commercial literature cannot be displayed
at the Pavilion. |

| Confirmed sponsor: |
Artes Graficas Magazine is a confirmed co-sponsor. NAGASA members
are being invited to become sponsors as well. |
Sponsorship Fees: Graphics of Americas is seeking co-sponsorship
support of $4000.00 for this Pavilion space as described. Sponsorships
are open to NAGASA member companies who are also exhibiting at GoA.
The Pavilion is not intended to substitute for any exhibiting organization’s
existing booth.
NAGASA has prided itself on offering support to organizations of all
sizes. For this reason, it’s been suggested that sponsorship
fees be tiered to the size of the exhibiting organization’s annual
sales. Proposed is:
Exhibiting companies with Sales $15 million and under: $500
Exhibiting companies with Sales higher than $15 million: $1000
Fee options exist. Use the Response Form to advise me of them. I
suggest that our goal should be to sponsor the booth and have some
additional funds on hand to expand our offering on-site handout materials.
With this in mind I propose our goal be a minimum of $4000 and not
more than ten to fifteen sponsors. We can discuss as a group how to
apply any surplus funds, including production of handouts on site,
refunds, or use of any surplus for future similar projects. If we
cannot meet the $4000 minimum then we’ll pass up this opportunity
in terms of a collaborative sponsorship.
Path Forward: Feedback to this concept from members exhibiting
at Graph Expo was enthu-siastic. The Pavilion offers useful services
to exhibitors and attendees that have been proposed by the Trade Show
Committee (on-the-floor meeting rooms, for example) and offers valuable
exposure to NAGASA member firms in a cost-effective manner since sponsorships
are collaborative. The Pavilion could serve as an anchor for a NAGASA
Pavilion that we are seeking to coordinate for Graphics of America
2001 event. We can discuss this in Miami.
Respond Now: Please complete the attached Response
Form and fax it back to NAGASA by not later than Friday,
November 12. Based responses we’ll know whether sufficient member
interest exists. I’ll communicate back to all who respond whether
it’s a go or no-go. All input is welcome as we proceed. Please
use the concepts and fees above as a starting place for discussions.
